Fleet Management System

In compliance with recommendations from the Governor’s Commission for a New Georgia, The State Accounting Office (SAO) and Department of Administrative Services (DOAS) are jointly implementing a statewide Fleet Management System. The software package that is currently being implemented is MRO’s Maximo Enterprise Suite.
The initial phase of this program will implement Maximo to support the procurement process and asset tracking, while allowing maintenance, fuel and other operating costs to be accumulated for the entire state fleet. Over time, a greater number of inputs and processes will be streamlined and automated and interfaces with other systems will be built and integrated. This will alllow agencies to more efficiently gather and analyze mileage, cost, assignment, repair, acquisition and disposal data in a way never before possible in the state.
The fleet portion of this project is scheduled for implementation on July 30, 2007. Subsequent phases will incorporate the functionality to support real property and information technology assets. James Truesdale, the Executive Program Director, is currently working with leadership from the State Properties Office and GTA to initiate those efforts.
This web site will act as a reference point for state employees who are interested in or affected by this project. It will provide ongoing updates as the project crosses milestones and will be a starting point for those who wish to get involved.
Fleet Management System - Overview
Fleet Management System enables you to maximize how assets that are critical to business and financial performance are purchased, maintained and optimized throughout their useful life. This provides companies with an important source of cost savings, regulatory compliance, productivity enhancements and competitive advantage. Fleet Management System maximizes the performance of fixed, physical or capital assets that have a direct and significant impact on achieving corporate objectives. Companies and organizations depend on assets to drive their business; however, they often see them as individual, stand-alone objects operating in the background. Fleet Management System is intended to cover all asset classes, including production, facility, fleet and IT asset infrastructures. Fleet Management System software solutions help companies and government effectively manage the life cycle of their assets.
The asset life cycle is defined as:

Through continuous process improvement and assessment we can:
-
Provides unbiased assessment of current state practices
-
Identify better and best practices that can be applied to Agency operations
-
Quantify potential value of improvement efforts
-
Provide practical guidance on real and substantive improvement actions

Enterprise Fleet Management System for Georgia State Government
Governor Perdue created the Commission for a New Georgia (CNG) which recommended that an Fleet Management System would provide a solution for consolidating Georgia’s assets. The governor accepted recommendations from the CNG and enacted legislation which mandated realignment of the state's assets.

The governor put in place an implementation team to drive these recommendations and embark on implementing a Fleet Management System system that will ultimately be used to manage over $14 billion in assets for fleet, capital, and information technology. Aligned with the needs of the state and the Governor’s goals, the Fleet Management System is driven by
Four simple goals:
-
Consolidate the state’s assets into one view.
-
Design and implement a single solution that will track and facilitate the management of all hard assets.
-
Address the CNG’s goal of providing tools to manage the Total Cost of Ownership (TCO) for the State’s Assets and value to the missions of the state.
-
Establish Fleet Management System capability for the State of Georgia that will integrate data with other existing systems beginning with Fleet’s business units.
