April Newsletter: NextGen Change Network coming soon

What’s New 

POC Meeting & NextGen Change Network

On March 14, the NextGen Project Team met with agency Points of Contact (POCs) to introduce the statewide NextGen Change Network (NCN). Establishing a change network is a critical piece of implementing the state’s new Enterprise Resource Planning system. With the help of change champions and change agents in each agency, the NCN will help to accelerate adoption of coming changes with Workday, promote understanding throughout each state organization, gather enterprise-wide feedback, and advocate for positive change as we prepare for the launch of our new ERP system.  

 

Each agency has been asked to nominate people within their organization to participate in the NCN. A meeting will be held on April 23 to kick off the NCN and start collaborating on a statewide approach to getting the word out about what’s coming in the next year. 

 

CFO Meeting 

During the March 21 CFO Update Meeting, the NextGen Project Team provided an update to state financial leaders and launched a survey about financial management of various projects. The finance team will use those findings to learn more about what project management could look like in Workday.  

 

CIO Meeting 

The NextGen Project Team hosted a meeting for CIOs on March 26 to discuss technical components of the project. Following the meeting, a survey was sent to CIOs to learn more about downstream integrations across the agencies. 

 

What’s Next 

April Townhall 

On April 24, the NextGen Project Team will host a Townhall Meeting for agency heads and their leadership teams. We will be sharing a project update, what agency involvement looks like in the months ahead and important project details.

 

Local Review Sessions 

Local Review Sessions for HCM will occur in April and Finance & Procurement will follow in May. During these sessions, workstreams will demo key processes and verify that the common design will meet the legislative or regulatory requirements of specific agencies that were identified by workstreams as potentially having processes outside the norm. 

 

Agency Preview Sessions 

In the coming months, we will be hosting Agency Preview Sessions, where we will take the beginnings of the new system on the road for a first look across the state. These sessions will present new processes to state agencies. Attendees will see a demo of what the state’s new HCM processes look like in the Workday system and have the opportunity to ask questions and provide feedback. Stay tuned for more details. 

 

You Oughta Know 

Branding Update 

We are excited to announce that the new ERP system is close to having a new name and logo. As a final step, a group of volunteers has been invited to participate in a focus group this month to provide feedback and help narrow down logo options to a final pick. Stay tuned for this exciting announcement.

 

Design Sessions Coming to a Close 

Design Sessions are wrapping up as we near the Build Phase, the next step in our project timeline. A lot of work, time and collaboration has gone into the sessions. Attendees spent time reviewing business processes, defining system roles and viewing system demos and configuration options. The outcomes from those workshops will start to come to life as the new system is built. Thank you to everyone who participated in Design.
