What's New

GA@WORK HCM timeline shifts to October 2025

Due to project integration complexities, the go-live date for Human Capital Management (HCM) and Payroll functions of GA@WORK is moving from April 2025 to October 2025 to align with the go-live date for the Finance and Procurement functions of the system.

Why are we moving the date?

This shift will alleviate the need for interim integrations between GA@WORK HCM and our current TeamWorks application. It will also allow for an additional testing cycle with more in-depth assessments to ensure the various agency and third-party integrations and requirements for each entity across the enterprise are being met.  

What happens next?

The Project Team will review and replan activities and dates over the next several weeks. We will work with the NextGen Change Network, HR Community and others to help socialize information throughout state agencies.

What about training?

HCM training will be rescheduled to later in the year to align with Finance/Procurement training. This change will not impact the training formats or channels.

What’s Next

The new year brings opportunities to test GA@WORK  

This month, testers for both Finance/Procurement (FIN/PRO) and HCM are fully engaged in testing to make sure the GA@WORK system works for all agencies.  

  • Finance/Procurement Testing Starting Jan. 13, testers from a select group of agencies are logging on to GA@WORK to test and verify that processes, integrations, reporting and system integration are working as intended. This first round of System Integration Testing (SIT) is set to conclude Feb. 28. It will be followed by another round of SIT testing beginning in March featuring a wider range of agency partners.
  • Human Capital Management Testing The first round of User Acceptance Testing (UAT) for HCM also began Jan. 13. In UAT, users test GA@WORK’s software and user interface to see how it reacts with real-world scenarios. This round of UAT is scheduled to conclude Feb. 7. Additional rounds of UAT will be scheduled. 

Most of the testing is taking place in-person at the James H. “Sloppy” Floyd Building in downtown Atlanta. Some sessions have been scheduled virtually to accommodate specific agency partners.

Townhall Meeting coming soon

On Friday, Feb. 7 at 1 p.m., the NextGen Project Team will host the first Townhall Meeting of the year for Agency Heads and other agency leaders focusing on the updated Human Capital Management (HCM) timeline and how it will impact agencies across the state. 

A calendar invitation has been sent to those who should be in attendance.   

 

Get the scoop on the Change Readiness Assessment

In December, the NextGen Project Team conducted the second Change Readiness Assessment (CRA) survey and received more than 1,000 responses across 60 agencies! The CRA is a survey designed to evaluate how prepared agencies are for the change to GA@WORK. Thank you for taking the time to participate!  

Assessment Highlights  

  • The Department of Natural Resources, Department of Transportation, Department of Administrative Services, and State Accounting Office lead the way as top respondents. 
  • Sixty-five percent of participants currently involved in the NextGen Project feel confident that GA@WORK will be user-friendly and easy to learn. 

The Project Team is working on implementing plans to address areas of opportunity in project communications and agency readiness activities.

Agencies asked to review systems for GA@WORK impacts

The transition to GA@WORK means many changes, including to the State’s data structure.  

Agency partners are being asked to review any systems with inputs or outputs from TeamWorks to determine the impact of the transition.

Examples of systems that may be impacted include: 

  • grant systems   
  • time keeping systems   
  • point of sale systems   
  • systems where accounting data is downloaded and then uploaded to TeamWorks  
  • manual spreadsheets that are used for uploading to TeamWorks.  

Agencies are being asked to work directly with impacted vendors or plan to adjust internal processes to use GA@WORK templates. They are also asked to notify [email protected] of any impacted third-party systems by Feb. 15

This request is only for agency internal systems and processes that do not have a current integration with TeamWorks. 

 

Agency Procurement Teams: Update your data

Procurement professionals: please ensure your agency’s data is up to date as it relates to dispatched purchase orders (POs), un-dispatched POs, inactive PO Buyers, supplier duplicates and unpaid vouchers. Be sure to include the following in your review:

  • Update Buyers on open purchase orders
  • Update Contract Administrator on contracts
  • Update contract expiration date (enter an expiration date and set contract to approved or closed)
  • Update contract status (set contract to approved or closed)
  • Do not set up contracts with a supplier profile which is marked as an employee profile (new supplier ID created along with a new contract). Contact SAO for POs for employee suppliers.
  • Accounts Payable to review unpaid vouchers for FY 2020 - 2023

GA@WORK to improve supplier contracting process 

The Supplier Contracts module of GA@WORK will improve the contracting process and assist in setting best practices for creating and requesting contracts. One of the features is a contract request form for internal reviewers and approvers to oversee the start of a potential contract. The new system will offer simplified contract administration that includes tracking renewals, amendments, extensions and the ability to add and schedule obligations. Obligations are tasks or actions that need to be completed during the life cycle of a contract i.e., certificate of insurance, tax compliance document, etc. 

Another great feature of Supplier Contracts is the ability to have internal review rounds to make changes or updates to a contract before it is sent out for an external review with the supplier all within GA@WORK. Contract Managers will have the opportunity to update the contract number, use a clause and template library, take advantage of the e-Signature process and also review the history of a contract by clicking on version history.
