P-Card FAQs

  • Will an approved Requisition become a PO?

Yes, that is correct. The Request is a form used to request authorization to make a purchase with a P-card.

  • Will each P-card holder create their own purchase?

The cardholder is not required to be the person entering Requisitions or Purchase Orders. The person creating a Requisition or Purchase Order will be able to select the cardholder’s card. There will be training and support provided which will show how to do this.

  • Does an approved Request have to be downloaded and then later uploaded during reconciliation?

The request number must be referenced in the memo of the P-card transaction. Optionally, an entity can choose to ask their cardholders to upload a copy of the prior approval to the transaction.

  • How do you make a request using someone else's card?

By using the "on behalf of" functionality. You would put the cardholder's name in that space to indicate that you are requesting on behalf of the cardholder. The request will then route to the cardholder and then to cardholder's manager.

  • Will we need to continue with getting the Activity Log approved?

Yes, if your agency requires the Activity Log. The State does not require the Activity Log.
