Gov. Kemp attends FMC and supports GA@WORK

Members of the NextGen Project Team attended the Georgia Fiscal Management Council conference in October to present GA@WORK to Finance and Procurement teams from across Georgia. More than 500 attendees gathered for the event which featured special guest, Governor Brian P. Kemp.

Many attendees were able to see the GA@WORK system for the first time. Gov. Kemp said it best as he encouraged attendees to embrace transformation. 

“Just as businesses are constantly innovating to better serve their customers, we must embrace change like this to best serve our citizens,” he said. “I’m encouraged by the progress underway in transitioning to a new HR and financial management platform which will further streamline and modernize government operations."

The excitement about GA@WORK was evident. The Project Team conducted on-the-spot interviews asking attendees about their initial reactions to the system. Check out what some of them said here.

It’s time to update your personal information in TeamWorks

Updating personal information in TeamWorks is essential for ensuring data accuracy, mitigating security risks and providing a better user experience when GA@WORK is launched in the coming months! 

All employees should update their personal information in TeamWorks by December 31.   

If you are a State of Georgia employee, go into your TeamWorks profile to make sure your contact details, preferred email address and phone number are up to date.

What's Next

NextGen FIN/PRO Agency Preview Sessions have begun

The Finance & Procurement Agency Preview Sessions kicked off on Nov. 12 in Atlanta. These in-person sessions give attendees a sneak peek into the most common Finance and Procurement processes and give the NextGen Project Team an opportunity to hear feedback from end users. 

The team is hosting two sessions in Atlanta on Nov. 12 and 13 and one in Macon on Nov. 19.  The Agency Preview Sessions will feature topics such as Budget/Adaptive Planning, Financial Core, Grants/Projects, Accounts Payable, Requisitions/POs and P-Card. 

Additionally, there will be one-hour, virtual sessions for topics not covered during the preview sessions in December. The Agency Preview Sessions will feature topics such as Budget/Adaptive Planning, Financial Core, Grants/Projects, Accounts Payable, Requisitions/POs and P-Card. 

 

HCM Training is fast-approaching 

The NextGen team is preparing for the start of Human Capital Management (HCM) training which will kick off in January with self-paced, eLearning courses. All State of Georgia employees who will interact with GA@WORK will need to participate in training. 

To ensure users of GA@WORK have a solid understanding of the system and are comfortable navigating through it, the team has incorporated various delivery methods and learning styles into the training curriculum to include:

  1. Instructor-led Courses 
  2. Self-paced eLearning
  3. Videos/Microlearning
  4. Job aids for post go-live support

Courses will be assigned to employees based on their role in GA@WORK, and each employee will have their own Learning Pathway to complete for training.

Registration for training will begin in December, and details will be provided to agency Points of Contact (POCs) and provided in the December NextGen Newsletter.

 

Next Change Readiness Assessment happens in December

The NextGen Project Team is deploying a Pre-Training Change Readiness Assessment (CRA) survey Dec. 9-20. This survey will provide insights into agency readiness for the transition to the GA@WORK system and help identify areas where additional support and engagement is needed.

Feedback from the survey will help the Project Team develop targeted communications, toolkits, training materials and other resources to better prepare users and ensure a smooth transition to GA@WORK. 

Details about how to participate in the survey will be provided in the coming weeks. 

 

You Oughta Know   

Final 2024 NextGen Townhall set for Dec. 12 

The NextGen Project Team is hosting the final Townhall for the year on Dec. 12. This will be an opportunity to update agency leadership on project progress, discuss important upcoming activities like Training and User Acceptance Testing and share expectations for the new year. 

Agency leadership should be on the lookout for a calendar invitation in the next couple of weeks.

 

Catch up on SIT and UAT Testing

NextGen is now in its Testing phase! Learn how users are putting GA@WORK to work and how partner agencies are getting involved. 

The NextGen Testing team wants to make sure that the GA@WORK system works for Human Capital Management (HCM) and Finance/Procurement (FIN/PRO) users, so they have embarked on several rounds of testing.  

System Integration Testing 
System Integration Testing (SIT) involves testers going into the system to test and verify that processes, integrations, reporting and system configurations are operating as intended.  

The team recently concluded one rounds of SIT Testing for HCM and is conducting the second round, first with a core group of agency partners and then with wider participation from all agencies. Next up will be FIN/PRO SIT Testing, which will follow the same two-round setup beginning in January 2025. 

User Acceptance Testing 
The next phase of testing is User Acceptance Testing, or UAT. This type of testing involves users testing GA@WORK’s software and user interface, gauging how it reacts and performs under a variety of scenarios. HCM UAT testing will begin in January 2025, and FIN/PRO UAT testing is scheduled to begin in June 2025.

All rounds of testing are taking place in person at the James H. “Sloppy” Floyd Building in downtown Atlanta. Thank you to all of the participants across the enterprise who are helping to refine processes and improve experiences for all State employees.

 

Stay in the GA@WORK loop 

One of the best ways to stay connected and in the loop concerning the NextGen Project is by attending your community meetings. GA@WORK is always a hot topic in these meetings and key Project Team members are there to share updates, answer questions and address concerns.
