What's New

Stay up to date on GA@WORK activities 

2026 is here and go-live is just months away. The next several months will be critical with moving parts across the project. To help keep everyone aligned and on schedule, the timeline below provides a visual overview of NextGen project activities that may impact your agency.  

Keep in mind that the monthly Agency Readiness Checklist is a great resource to confirm specific project activities that require your agency’s attention.

New FDM updates submission cadence rolling out 

FDM mapping updates will soon move to a twice-monthly cadence.

CFOs from TeamWorks Finance agencies will receive updated templates around the 1st and 15th of each month starting in January through early April. If agencies have submitted updates or have new TeamWorks changes, they should review the most recent FDM mapping template and provide any necessary feedback or revisions.

For example, if an agency adds a new project to TeamWorks, the corresponding new mapping to GA@WORK Worktags should be submitted to [email protected].  

Any questions or concerns can also be sent to the FDM mailbox. 

 

Power through Benefits Data Cleanup  

In GA@WORK, benefits eligibility will be determined automatically using benefits eligibility rules to guide your data cleanup efforts. To support a smooth go-live, agencies must review and correct inaccurate employee benefits data in TeamWorks. If impacted employees’ data isn’t cleaned up, it could affect their benefits, potentially resulting in gains or losses in coverage depending on each employee’s records or being incorrectly denied benefits.

If an agency is identified as needing to make corrections, the Human Resource Director will receive an agency-specific spreadsheet identifying impacted employees. This communication will come from DOAS Human Resource Administration.  

Corrections to Benefit Program, Pension Plan Elections and ERS Pension Compliance Code must be completed by Jan. 29, using Jan. 2 as the effective date.

What’s Next  

Submit grants EIB forms by Jan. 16 

The deadline to submit all required EIB forms is Friday, Jan. 16. The completion of these forms is important as they will provide award data from each agency to be uploaded to GA@WORK.  

Forms need to be submitted by the deadline to ensure continued compliance as missing forms will affect your ability to complete any grants-related transactions at go-live.

Security Role Mapping refresh begins Jan. 20

The next round of GA@WORK Security Role Mapping is set to begin Jan. 20. This activity ensures agency security rules are fully updated and accurate ahead of the system go-live.  

Building on the initial mapping completed last April, this refresh phase allows agencies to validate that specific employees assigned to various processes have the correct level of system access. Agency Security Partners (ASPs) will lead this effort in collaboration with HR Directors, CFOs and Procurement teams to validate mapping templates.  

From Jan. 20 - 30, the NextGen Project Team will host a series of working sessions to provide real-time support as agencies review and refresh their data. This collaborative review ensures that internal workflows and security protocols are accurately reflected across the statewide system.  

The data will be used to provide access for upcoming training sessions, making participation essential to ensure your staff can successfully complete in their required training.

Preparations underway for Go-Live Rehearsal  

The NextGen Project Team is finalizing preparations for the Go-Live Rehearsal. This phase of the project represents a pivotal point in the journey to go-live for GA@WORK.  

The Go-Live Rehearsal serves as a practice run for the actual cutover, which is referred to as the Gold Build. This phase is intended to validate end-to-end processes and ensure the Project Team and agencies are fully prepared to support a smooth and successful go-live transition.    

The following cutover tasks will be practiced during the rehearsal:

  • Configuration and data conversions  
  • Data validation  
  • Manual transaction processing and communications  

In addition, agencies may be asked to participate in a few specific activities like Security Role Mapping but will play more of an active role once the cutover phase begins.  

Additionally, any feedback from the Go-Live Rehearsal will be incorporated in the cutover plan, maximizing readiness and minimizing risk during the cutover phase. Clear roles, disciplined cadence, and issue escalation pathways are all essential for success.

This is an exciting moment for the project. Go-Live Rehearsal is a significant milestone in the overall project timeline and puts the state one step closer to using GA@WORK!
