New go-live guides now available for Employees and Managers 

Employee and Manager GA@WORK Go-Live Guides are now available on the GA@WORK Resource Library for all future GA@WORK users. The guides are designed to help employees and managers prepare for key milestones, understand what is changing and take the right actions before, during and after go-live. Managers should become familiar with both guides. 

Agency Points of Contact (POCs) have a full toolkit available to help them distribute the guides to their agency’s employees. Share any feedback or questions to [email protected].  

 

Go-Live Checklist to prepare all employees for system launch 

To prepare for go-live, there are a number of activities all employees need to complete – some coming due as soon as May 28. These activities have been consolidated into an Employee Readiness Checklist to help with tracking outstanding tasks.  

If additional support is needed to complete the tasks, the Employee Readiness Checklist Job Aid provides step-by-step instructions on each activity. Managers and agency leaders can also use the Employee Readiness Checklist Email Template found on the Managers Communication Toolkit page of the GA@WORK Resource Library to help communicate about the checklist to their employees.

Ensuring Day One Success: Final Security Role Mapping Window Opens May 18 

The last round of GA@WORK Security Role Mapping (SRM) begins May 18. This critical activity is designed to ensure that agency security roles are fully updated and accurate ahead of the system go-live on July 1. Building on the last round of SRM from January 2026, this phase allows agencies to validate and make any other necessary updates that specific employees assigned to various processes have the correct level of system access.

Agency Security Partners (ASPs) lead this effort in collaboration with HR Directors, Procurement Officers/APOs and CFOs to validate mapping templates. Throughout this period, from May 18 - 29, the NextGen Project Team will host a series of working sessions to provide real-time support as agencies review and refresh their data. This collaborative review ensures that internal workflows and security protocols are accurately reflected across the statewide system.

NOTE: The data will be used to provide access for upcoming training sessions, making participation essential for your staff to successfully participate in their required training.

TeamWorks supplier and customer data freezes May 19 

All additions or changes to supplier and customer data in TeamWorks must be completed by May 19, as the system will be frozen for updates after that date.

This hard freeze is being enacted to prepare for the transition to GA@WORK. Supplier liaisons, APOs and CFOs are being asked to communicate with their agency's suppliers and review anticipated end of fiscal year spend.

For any additions or changes before May 19, agencies are asked to work with their supplier liaisons to complete and submit the Supplier Change Request or Customer Address & Contact Change form, depending on the type of request. These forms are located on the Support Portal on the Form Library page under Finance or Supplier as shown below.  

Note that the Form Library link is only accessible to those who have Support Portal access. That includes everyone except those users who use Employee Self Service and Manager Self Service only.

Agencies will have to wait until GA@WORK go-live on July 1 to make updates, if the forms are not updated on time.

What's Next

Agency Support Teams mobilize to support employees through transition 

With the GA@WORK go-live date approaching, agencies are preparing to support their teams through the transition. Each agency has been tasked with establishing an internal Agency Support Team, built on existing internal processes, to serve as the first point of contact for employee questions after go-live. These teams form the foundation of GA@WORK support, coordinating agency knowledge and available resources to resolve issues locally whenever possible. When an issue cannot be addressed at the agency level, the Agency Support Team will escalate it using our existing help ticketing system supported by the State Accounting Office (SAO) and Department of Administrative Services (DOAS).

Why the Agency Support Team Matters

  • Provides consistent, process-aligned support from staff who understand agency operations
  • Explains clear escalation paths, aiming to speed resolutions and reduce unnecessary handoffs
  • Strengthens system adoption by enabling users to learn from trusted, agency-based experts

Agency Support Teams will also prepare their organizations for how to request assistance and will use existing communication channels to share updates, tips and resolutions across their agency. Throughout May and June, agencies will finalize their Agency Support Teams, communicate support pathways to employees and activate their internal processes ahead of go-live.

Get to go-live preparations continue with new resources and transition tools 

We are 49 days out from go-live! As there are numerous things to do to prepare to move from our legacy system (TeamWorks/PeopleSoft) to GA@WORK, we have built resources and calendars to help explain how to get to go-live.  

A learning curve is to be expected, so the NextGen Project Team has created the Get to Go-Live Glossary to help explain common terminology used during the GA@WORK transition as well as talking points for agency leaders to use when communicating to their agency about the transition. These can be found on the GA@WORK Resource Library in the Get to Go-Live section.

Get to Go-Live calendars are also available there, including a comprehensive calendar and versions organized by business area: HCM (HR), Payroll, Finance/Procurement and Technology. These calendars contain detailed information and should be shared with and reviewed by employees working in these areas.   

 

Employees continue GA@WORK training and practice in Sandbox

n early May, the new GA@WORK Sandbox (GA13) was launched for administrative and functional users who have completed at least one course in a role-based learning program, and to agency Super Users. The Sandbox (GA13) offers a practice environment for users to explore GA@WORK and better understand how work will be performed in the new system.

As a reminder, Employee and Manager Foundational Learning Programs are due by May 28, though we encourage everyone to complete training as soon as possible.  

Early completion will help and better prepare employees and managers for GA@WORK. These foundational learning programs remain available for self-enrollment at any time. In addition, GA@WORK Expense Management eLearning is now open for self-enrollment for employees who may need to submit non-travel-related expenses.

Continue checking Team Georgia Learning, as additional instructor-led training sessions tied to role-based learning programs are being added to accommodate our growing audience.

Update your information in Team Georgia Learning by June 11 

On July 1, Team Georgia Learning, the current state Learning Management System (LMS) will be replaced by GA@WORK Learning. GA@WORK Learning will house all learning-based content (mandated trainings, eLearning courses, Instructor-Led Trainings, etc.).  

To prepare for this transition, it is important that all learners, including external learners*, log in to Team Georgia Learning and verify that their primary email address information is correct. The deadline to make contact information adjustments within Team Georgia Learning is June 11.

*The SOG defines external learners as follows:

  • Learners who do not have a GA@WORK account but are associated with certain affiliations and need to consume courses and/or training in GA@WORK Learning.  
  • Affiliated organizations include the DOAS State Purchasing Division, DOAS Surplus Property, and other related entities that may require training as part of their requirements or certifications.  
  • Georgia Department of Transportation (GDOT) employees who have training history inside of Team Georgia Learning.

Training Update

As of May 8, 49 percent of employees and 53 percent of managers have completed the Foundational Learning Program. Be sure to complete this training by May 28 and all other training courses by June 11.

GA@WORK Change Readiness survey closes with more than 9,650 participants  

Thank you to all participants who completed the GA@WORK Change Readiness Survey. Altogether, there were 9,656 responses from 116 agencies, including more than 37 agencies with 50 or more employee responses. This level of participation gives the NextGen Project Team a clear view of how the state is preparing for the transition to GA@WORK and strengthens our overall picture of statewide readiness.  

The Project Team is now reviewing the feedback to identify trends, target support where it is needed most, and refine go-live communications and training reminders ahead of July 1.
