Change Readiness Survey coming April 22
The Project Team will soon deploy our next Change Readiness Assessment, and we need your participation! This survey is open to all future end users of GA@WORK and will run from April 22 to May 5. The survey will be distributed through the NextGen Change Network (NCN) and/or internal agency communication teams. Please take the survey and encourage your colleagues to do the same.
The survey helps establish a baseline for state agency readiness for GA@WORK. Previous feedback has greatly influenced efforts to prepare your peers, agency leaders and future GA@WORK users for the transition to GA@WORK.
Make your voice heard and watch for the survey’s launch later this month!
Agency Heads: Plan to attend the April NextGen Townhall
The next NextGen Townhall Meeting will take place on Monday, April 14, and the NextGen Project Leadership Team is calling all Agency Heads to be in attendance. As we near the go-live date, project leadership would like to make certain that agency leaders and key members of their teams are informed and prepared for the next six months.
Key project activities like Legacy System Remediation, Benefit Eligibility Clean Up, ADP Tax Services Setup, Data Validation, Cutover activities, and more will be discussed along with Training and overall preparedness for the GA@WORK go-live on Oct. 1.
Please make plans to be there. Agency heads are encouraged to also invite key players who might be imperative to this project.
Training Support Center is live on the GA@WORK Resource Library
The Training Support Center has been published to the GA@WORK Resource Library! The Training Support Center features a variety of content focused on the upcoming training for GA@WORK. Within each of the tiles on the Training Support Center, you can access different information related to training. For example, the “Training Overview” tile provides a high-level overview of the who?, what?, when?, where?, why?, and how? of GA@WORK Training in a concise one-page format that can be downloaded and shared within your agency as needed. In addition, you can access course enrollment guides, the latest schedule and timeline, learning programs and answers to frequently asked questions.

April 9 Security Preview Day to kick off Security Role Mapping
On Wednesday, April 9, the NextGen Security Team will host Security Preview Day, a day of in-person information and education sessions to kick off Security Role Mapping activities.
Role mapping is the process of assigning specific roles and permissions in GA@WORK to users based on their job functions and responsibilities. Role mapping is critical for ensuring the right people have appropriate access within the new ERP system. Agency Security Partners (ASPs) are responsible for reviewing the latest role mapping templates and submitting their respective agency’s maps.
Security Preview Day will cover key security features in GA@WORK, best practices for role assignments, and strategies for managing and mitigating risks associated with role permissions.
ASPs will have from April 9 to May 9 to work through and submit their maps back to the NextGen Security Team. During this time, the Security Team is providing daily support workshops to ensure all agencies have the resources they need to complete their mapping templates.
The success of this process leans on the knowledge and expertise of our ASPs and their efforts to ensure a streamlined transition to GA@WORK. For more information or questions about Security Preview Day or role mapping, please contact [email protected].

CFOs: ADP Tax Services onboarding forms due April 15!
The state has engaged Automatic Data Processing (ADP) to provide agencies with payroll tax services.
On March 26, CFOs should have received a secured email with information regarding three forms to be completed and returned.
These forms must be completed to enroll your agency in ADP Tax Services.
All forms are due April 15 and should be submitted via the established secure email platform. If you have any questions, contact [email protected].
Milestone Alert: All Supervisory Organizations are complete!
Thank you to all the agency partners who worked to complete 191 Supervisory Organizations across all agencies! This process involved mapping the organizational structure in the state’s new ERP system, GA@WORK and required a lot of effort and coordination across the enterprise.
There will be opportunities to update Sup Orgs in the future, so stay tuned!
Procurement Teams: Sign up to use new feature for contract requests
During the March 11 APO/CUPO meeting, the NextGen Project Team introduced a new feature to create contracts called contract request forms. A contract request form will help to gather key requirements and information related to exempt, non-bid or non-monetary contracts from agency departments. In addition, an approval workflow is part of the contract request process prior to creating a contract. While this is an optional feature in GA@WORK, organizations interested in leveraging this feature need to provide approval workflow users.
A Contract Request Survey, to assess the interest in using contract request forms upon Go-Live in October 2025, was recently shared with the APO/CUPO community. If your agency does not submit a response by April 18, the NextGen team will assume your agency does not want to test contract requests during User Acceptance Testing or use contract requests beginning in October 2025.
